The context
The union runs a lodging facility for members, retirees, family members and guests. The union offices coordinate rooms, rates, payments and exceptions, while almost everyone starts the process on WhatsApp.
The problem
Bookings had to come in with different rates depending on who the guest is, double bookings had to be avoided, and payments had to be processed without the office staff running the whole process by hand.
What we built
01A website, an admin panel and a WhatsApp bot, unified.
02The member roster syncs from the spreadsheet the union already used.
03The system calculates the rate by guest type, assigns the room and validates payment proofs in photo or PDF before confirming.
What changed
Members and retirees complete the booking on their own.
