The context
The reconciliation system of a distributor that uses an ERP to record receipts, cash registers and collections. Every day someone has to check that each reported payment has its bank deposit and its proof of payment.
The problem
The ERP said what had been collected, but that lived apart from what the banks, Mercado Pago and thousands of photos and PDFs showed. A misread date, a duplicated receipt or an edited collection could make money show up twice or stay unexplained.
What we built
01A platform that syncs receipts, cash registers and collections from the ERP and normalizes bank statements.
02Processing of the payment proofs that arrive over WhatsApp, as photos or PDFs.
03Deterministic rules, AI reading and nightly checks that propose matches, catch duplicates and set aside uncertain cases for a person to review.
04Every fix is measured against thousands of transactions before it goes live.
What changed
The company follows the full path of the money and focuses only on the real exceptions.
It runs in production on about 14,500 receipts, 8,850 collections and more than 24,000 bank statement transactions.
